The
Phone Log View presents information regarding specific calls that have been made
and received. A
Phone Log Record may be created for any call that the user desires to document.
One purpose would be to record a call from a new prospect.
Another would be to record a defendant check-in call.
New records can be created by clicking Insert New Record
in the
Phone
Call
search frame or in the Phone Log sections of the
Defendant
View
or
Indemnitor
View
pages.
To work with the Phone Log, click Phone Log under Client Records in the BARS Navigator. The Phone Log Search Page opens with a list of the phone calls appearing at the bottom in the Search Frame. Clicking on one of these records causes that phone log record to appear in the focus frame. To create a new phone call record, click Insert New Record in the Search Frame. To edit the existing record, click Edit in the Focus Frame.

The following briefly describes the use of each of the additional buttons.
Convert to Prospect |
Copies all relevant data from the currently selected phone call record and creates a new Prospect record. It returns a page confirming the action, providing the new prospect ID and offers the opportunity to either View the New Prospect record or Edit the record. |
Convert to Defendant |
Copies all relevant data from the currently selected Phone Call record and creates a new defendant record. It returns a page confirming the action, providing the new defendant ID and offers the opportunity to either View the New Defendant record or Edit the Record. |
Convert to Indemnitor |
Copies all relevant data from the currently selected phone call record and creates a new indemnitor record. It returns a page confirming the action, providing the new indemnitor ID and offers the opportunity to either View the New Indemnitor record or Edit the record. |

The following searches are available in the Phone Log drop down search menu.
| All Phone Calls | Presents a list of all phone calls, regardless of status or date that have been recorded. |
| Active Phone Calls | Presents a list of all phone calls with a status of Active. |
| Phone Calls Last 24 Hours | Presents a list of all phone calls received within the last 24 hours. |
| Call Backs Next 24 Hours | Presents a list of all phone calls with a call back date and time in the next 24 hours. |
| Check-in for a Defendant | Presents a list of phone calls of the type Check-in for the designated defendant. |
| Phone Calls of a Type for a Defendant | Presents a list of phone calls of the designated type for the designated defendant. |
| Phone Calls of a Type | Presents a list of phone calls of the designated type. |
| Phone Calls for an Agent | Presents a list of phone calls for the designated agent. |
| Phone Calls for a Defendant | Presents a list of phone calls for the designated defendant. |
| Call DateTime | The date and time the call was taken or made. |

| Indemnitor ID | The ID of the related indemnitor record, if any. |
| Indemnitor Name | Indemnitor name, if any. This can be entered without an ID or a related indemnitor record. If an indemnitor ID is chosen from the list the name is entered here automatically. |
| Prospect ID | The ID of the related prospect record, if any. |
| Prospect Name | Prospect name, if any. This can be entered without an ID or a related prospect record. If a prospect ID is chosen from the list the name is entered here automatically. |
| Defendant ID | The ID of the related defendant record, if any. |
| Defendant Name | Defendant name, if any. This can be entered without an ID or a related defendant record. If a defendant ID is chosen from the list the name is entered here automatically. |
| Defendant DOB | Defendant date of birth. |
| Booking Name | The name the defendant was booked under. |
| Booking Number |
Or criminal number. |
| Bond Amount | The liability amount of the needed bond. |
| Bond/Power |
Related bond number, if any. |
| Charge | Freeform entry of charges. |
| Jail | Freeform entry of the jail where the defendant is being held. |
| Court ID | The ID of the related court record, if any. |
| Court Name | Court name, if any. This can be entered without an ID or a related court record. If a court ID is chosen from the list the name is entered here automatically. |
